To help make your move as smooth as possible, we've gathered important information and resources to get you started. We encourage you to review the information below, as it answers many of the most common questions new homeowners have.

Start Here: 

1. Homeowner Information Form. Please complete the Homeowner Information Form so we have your most current contact information. This helps us maintain accurate records and ensure we have appropriate contact information.

Submitting the New Homeowner Information Form does not establish your homeowner account or complete the ownership transfer process. Please contact our office so we can assist with setting up your account and answer any questions you may have. *It is important to understand that if you have just closed, our office will not be able to provide you with an account number (needed to create your portal accounts) at this time. More information on this can be found below*


2. Create a TownSq account using your Account Number (provided in your welcome packet) and follow the prompts here: https://app.townsq.io/login 

*Only applicable to those who have received an account number from our office. 

**It is important to note that your HOA website is opt-in, meaning homeowners choose whether they'd like to register for an account.


3. Create a CINC Banking Portal Account, information is located on the assessment page of your HOA website.


4. Explore the Community Website

Take a few minutes to familiarize yourself with the community website. Here you'll find:

- Governing Documents (Declaration, Bylaws, Rules, and Guidelines)

- Assessment information, including payment options and due dates

- Architectural Review information and request forms


Recently Closed?

If you purchased your home within the last 45 days, your ownership information may not yet appear in our records.

Following your closing, ownership documents and payments are processed through the title company, lender, and other closing parties before being mailed to our office. Once received, transfers are processed in the order they arrive. Because we receive closing documents daily, ownership transfers are not expedited. Therefore we may not be able to provide an account number during this time period. 

In most cases, we cannot update ownership until all required documents have been received, processed, and any applicable payments have cleared. Until that process is complete, your name may not yet appear in our system.

If you've recently closed, we still encourage you to complete the New Homeowner Information Form and contact our office. We'll be happy to verify the status of your ownership transfer and let you know what to expect next.

Welcome Packet

After your ownership has been processed, you'll receive your community welcome materials.

Because ownership transfers rely on documents being received from the title company and lender before they can be processed by our office, welcome packets are generally sent approximately 45–60 days after closing.

Many of the same resources included in the welcome packet are also available throughout this website.


Mailbox Keys

Mailbox keys are issued exclusively by the United States Postal Service (USPS).

Please take a copy of your closing documents (or lease agreement for tenants) to your local post office to obtain your mailbox key.

The HOA and management company cannot issue or replace mailbox keys. To locate your post office please visit: https://tools.usps.com/locations/


Rental Properties

If your home is being leased, all rental properties must be registered with the Association by completing the Rental Property Registration Form using the link provided below.

A new Rental Property Registration Form is required each time a new lease agreement is executed or there is a change in tenants. This ensures the Association has current occupancy and emergency contact information and allows us to maintain accurate community records.

Please note: A completed Rental Property Registration Form must be on file in order for your tenants to communicate with our office or utilize the community amenities.  

All property owners remain responsible for their property and their tenants' compliance with the Association's governing documents. It is the homeowner's responsibility to:

  • Register the rental property with the Association.
  • Submit a new Rental Property Registration Form whenever a new lease begins or tenants change.
  • Provide tenants with the Association's Governing Documents, Rules and Regulations, and any applicable community policies, including pool and amenity rules.
  • Supply and manage any community access devices issued for their property, if applicable.
  • Ensure tenants comply with all Association rules and restrictions.

Is your address not on the map at this time? 

Adding your address to Google Maps is easy, and we recommend checking to make sure this information is correct as this will impact your deliveries. To add an address: 

1. Enter your address into the search bar of the Map app or site

If your address doesn't show up remove any house numbers or apartment numbers and the marker should locate you in the middle of the road.

2. Click on  "Send feedback"  in the bottom right-hand corner of the screen, or click on the menu  (top left of the screen)  and  scroll to the "Send feedback" button.
